HOLLIS CIRCULATION LIAISONS MEETING

January 4, 2000 9:15-10:45 OIS Conference Room

Informal Meeting Notes (MLC)

Introductions

Old Business

  1. Year-end ("Christmas week") has come and gone. Fallout?
  2. Regarding no product delivery between December 24-31: Like the Y2K bug, perhaps, units generally agreed that because they anticipated increased load for processing HOLLIS products on January 3, they were prepared. HD deliveries were lower than anticipated (Widener expected 1200, got 500). There was also general agreement that one or two days after 1/5 would be more problematic as items charged out during the break come due.

RECALLs generally present problems during extended "closings" because the system does not consult the library calendars when determining recall due dates and manually back-charging, etc. is extremely labor-intensive. This is considered by the group to be a priority for a new system.

  3. Mainframe operating system upgrade and HULPR performance issues. Any recent issues to discuss here?
  4. System was unavailable (unplanned) for part of the time when the libraries were open, thus causing delays and some manual errors. OIS will announce progress on specific issues as available.

  5. Item and charge data for November 20-21. Any further follow-up required?
  6. Most units are consulting the lists as problems come up. While confusing, the lists have been useful.

  7. Due date rollovers for 12/31 were done on 12/23 per agreement at last meeting.
  8. Calendar data: see http://hul.harvard.edu/cmtes/circl/calendars.html. MC will try to keep this up to date, but if you have questions about what you see on this listing please contact Martha Creedon. Only library lacking spring data is Countway. Good through 2/21/00.

New Business

  1. TFSCP (Task Force for the Simplification of Circulation Policies) update.
  2. Elizabeth McKeigue overviewed the December 23 meeting that the TFSCP had with the Public Services Committee. Minor revisions regarding blocking will be added to the report and then passed on for consideration by the ULC, probably at its February meeting. The revised report is available at: http://hul.harvard.edu/cmtes/circl/TFSCP_990415-Revised.html

  3. Calculation of fines during closed hours (S. Leavitt).
  4. This did turn out to be a problem specific to the Littauer calendar (one calendar is shared for both Regular and Reserve service units). Specifically, on holidays or other deviations from the "normal" schedule, the calendar must be modified to record the shorter open hours or the system will set due times that fall during hours when the library is actually closed and the patron could not return the item and avoid overdue fines. Sue will send MC a list of dates (such as the upcoming MLK Day) that need to be adjusted in the calendar. This should stop many of the fines-related problems that Littauer has been experiencing at their reserve service unit.

  5. Other?
