HOLLIS CIRCULATION LIAISONS MEETING

Informal meeting notes - MLC

Introductions (regretfully, I did not get back to introductions as promised - and I believe I have missed a newcomer or two).

  1. Rollover of undergraduate address hierarchy:
  2. Commencement: switch hierarchy to S(ummer), P(arent), L(ocal),O(ffice)

    Friday before Freshman Week (i.e., effective for products on Monday of Freshman Week): switch hierarchy back to L/P/S/O

    For 2001, switch on Commencement, 7 June; switchback Friday, 31 August--effective Monday, 3 September, Monday of Freshman Week (which is actually Labor Day).

    There was some discussion as to why the rollover takes place as late as commencement. Eddie Doctoroff commented that over the years it has worked best to wait until this date because so many students - including seniors, of course! - remain on campus until then.

  3. Summer calendar data needed - please check http://hul.harvard.edu/cmtes/circl/calendars.html and send updates to OIS before June circ liaisons meeting. Summer school dates this year are June 25-August 17.
  4. Also let MC know if the data represented on the webpage appears inaccurate!

  5. Extended Part Time Employees and library privileges: an update.

MC notes that we have not brought this topic up for a while, due to technical and administrative issues. A summary of current OIS and ULC positions follows:

OIS will try to load these patrons into HOLLIS automatically for the next year (before Sept probably)

OIS cannot guarantee that we will get to this if cannot get support from HR

In the mean time, libraries MAY add them manually if they choose (and OIS has directions they should follow; please contact Martha Creedon)

Please note that ULC did not want to burden circ staff with this manually data entry so there is not a ULC policy that libraries MUST provide borrowing privileges to these folks at this time -- but they MAY if they so choose.

Given our inability to load these patrons in programmatically at this time, manual entry seems like the most reasonable approach. To date, OIS has not received any indication from the individual libraries that there is a huge demand from the patrons in question.

4. Waiving fines for repeat offenders (Gene DeVita).

    In the interest of time today, we decide to table this discussion until the next meeting.

5. Update and tutorial presentation on changes to the Accounts Receivable system (Patty Hatch).

Patty Hatch presented a walk-through of the AR issues of most interest to library staff who handle HOLLIS billing data, focusing on a lot of information that the AR training does not. Because the accounts were closed today (because it's the first of the month), Patty was unable to show some of the final steps of issuing credit memos but the session gave everyone a good opportunity to review known issues, hear about current status, view screens in the AR system, and ask questions about procedure.
