HOLLIS CIRCULATION LIAISONS MEETING

June 2, 1998 9:15-10:45 HUL Preservation Center Conference Room

Informal meeting notes (MLC)

Introductions

Old Business

  1. Review change to undergraduate hierarchy for circ notices. This will go into effect on Thursday, 6/4/98.
  2. Done.

  3. Summer school patron data. According to Charles Husbands, we don't expect any problems with this. It's pretty much routine by now.

New Business

  1. Debbie Grier (Fine Arts): How are units handling returned mail (circ products)?
  2. The general practice seems to be to first check to see if the material has been returned. Then, a check of the patron record might reveal a new address. Eddie Doctoroff noted that for special borrowers, Widener keeps a manual record (hardcopy application) that can be used to check against what was entered online for the patron. Some units try an alternate address from the patron record. If all else fails, units sometimes put a note on the patron record to the effect that the address needs updating.

  3. Paula Ebbitt (KSG): A reserves question more than straight circ, but the group might be helpful here: how other libraries request reserve lists from faculty.

Judi Beland indicated that Countway sends out a standard form that is also available on the Countway web pages. Lamont and Hilles also use web forms; some units accept email. Regarding web forms, Marybeth Kendrick (Hilles) recommended using web forms that require certain fields to be filled out. Some units send out lists from the previous year.

Other

  • Gene DeVita (Tozzer) asked about charging for replacement of lost items.
  • Judi Beland (Countway) asked whether other units are receiving misdirected HD retrievals.
  • Eddie Doctoroff (Widener) asked about OIS planning for the year 2000. MC indicated that some work has already been done; a group is meeting to identify remaining issues and resolve them. Reporting and batch products will require some modifications. We also need to consider what to do about the approximately 80,000* items (*Corrected 6/15, MC) currently charged to pseudopatrons with a due date of 9/9/99.
  • Hannah Collins (Law) asked about using Windows-based ftp clients for FETCHERRS. There is no reason to use only DOS-based clients. Local desktop/PC support can probably help out.
  • GET ANY. Rumor has it that it will be discontinued on June 9. From HOLLIS:

GET ANY Command discontinued

The intra-library loan pilot project (accessible through the HOLLIS "GET ANY" command) has concluded. The purpose of the pilot project was to gather use and cost to assist individual Harvard libraries in deciding whether to offer a service of this type.

For information about obtaining materials from Harvard libraries through intra-library loan, please contact the Circulation/Interlibrary Loan department in your primary service library.

  • Tom Macdonald (Hilles) asked about:
    1. Some extension students are receiving overdue courtesy notices that should only be for summer school students. MC will look into it.
    2. Extension students need to be removed from the summer school outstanding charges report. Done as of the special run the week of June 8.

Next Meeting: July 7, 1998 -- 9:15-10:45 -- OIS Conference Room
