HOLLIS CIRCULATION LIAISONS MEETING

October 6, 1998, 9:15-10:45 OIS Conference Room

Informal Meeting Notes

Introductions

Old Business

  1. HOLLIS II update
  2. (MC) Negotiating team is meeting with DRA about contracting issues.

Task groups reviewed functional checklists one more time and made annotations indicating priority. These lists will be used during contract negotiation.

Meanwhile, OIS is actively planning conversion and implementation and will keep units posted via several communication methods, including HOLLIS liaison meetings and the HOLLIS II web pages at http://hul.harvard.edu/hollis2/.

  3. Calendar data is pretty much up to date, with only a minor question or two. MC will contact individual units about this.
  4. 10/7: All set.

  5. Misc. patron data issues:
  6. Approximately one dozen patron records with PN "DUPLICATE OF <patron id number>." MC looking into this. No update.

  7. Other? MC following up on patron id ranges for special borrowers; as part of this, Eddie Doctoroff to send range in question to MC.

New Business

  1. Reserve fines/incentives to return reserve items on time.
  2. General discussion about this topic, raised by Paula Ebbit (KSG).

  3. Service fees for replacement for lost items (Bruno Leung, Lamont).
  4. Another general discussion; at least a couple of units (Countway, Widener) allow patrons to buy replacement themselves in order to reduce replacement cost. Service fee usually included in the replacement cost for the item, although at least one unit (Lamont) charges an additional fee on top of the replacement. Most libraries represented at the meeting tend to charge associated overdues in addition to replacement.

  5. Display of overdue fines when discharge or renew an overdue item -- sometimes amount owed does not display (Melissa Hilbert, Wolbach).
  6. This is a function of security on the operator performing the discharge or renewal. Melissa will review HOLLIS Reference Appendix L and contact Linda Marean at OIS for follow-up.

  7. Anomaly in recalls (Tom Macdonald, Hilles)

After removing a recall, the due date was not reset to the original due date, but rather to the recall due date. The patron thus received an overdue notice. Those at the meeting indicated that a descharge/re-charge is necessary in this case to reset the due date (although this presumably would actually extend the due date unless the operator first reset the system date back to the original charge date). This observation led to a brief discussion of concerns regarding recalls in TAOS, especially patron-initiated recalls.
