HOLLIS CIRCULATION LIAISONS MEETING

June 1, 1999 9:15-10:45 OIS Conference Room

Informal meeting notes (MLC)

Introductions

Old Business

  1. Pseudopatron "indefinite" (09/09/99 due date) loans. Done. All charges that had a due date of 09/09/99 have been globally changed to 09/09/09. One exception has been found: for items that are charged to LOST, if the previous charge was to a pseudopatron, the HAS list will show the due date of the original charge. MC will find an example and post it here and we'll take a look at an example at July meeting.
  2. Example: LPB1 fi pn Widener conservation - minor repair

    HAS

You'll see HAS list with the first two entries due 9/9/99 - the due date is from the tracking info on the lost item and is seen for items lost by pseudopatrons only. This should not be a problem.

  3. Calendar data received from all units (except Wolbach -- ok as of 6/11)
  4. Crimson Cash. At the May meeting, Eddie Doctoroff and Elizabeth McKeigue of Widener Library described plans to begin accepting Crimson cash for payment of circulation bills and fines. In response to Widener's request (as well as to some early rumblings from other units), OIS has added a new payment method code("m"), to indicate payment by Crimson Cash. Available as of May 26, payments accepted and marked as "m" payments appear on the daily operations reports in a separate column from other payment methods. Otherwise, there is no additional change in HOLLIS functionality.
  5. Repeated from last meeting: Summer school this year is from June 28-August 20. Several units roll over to fixed due date as the semester nears its end. The fixed due date for summer school borrowing will be August 20, 1999. MC will be setting this up this week or next. If anyone is contemplating any summer-school-related policy changes, please inform OIS right away. -- Done 6/2.

New Business

  1. Rollover of address hierarchy for undergraduate printed notices will be effective on June 10, graduation day.
  2. On Tuesday, May 25, during some CICS conversion testing, there were some cases of improper construction of the patron charge index. This caused abends for certain attempts at using the HAS command, and there were instances of individual operators issuing the same command multiple times, receiving multiple instances of abends. Please call OIS when you encounter an abend rather than re-issuing the command repeatedly. The offending problem, by the way, has been corrected as of May 28.
  3. Scott Britton: question about the timing of AR bills and waiving fines and fees online. The issue here is that there are cases of bill/fine records where bills had gone to external billing or term bill but were not indicated in HOLLIS as having been sent. Meanwhile waives were performed by operators, thinking the data had not yet been sent. We looked at some examples during the meeting; all examples so far took place on April 8.
  4. Other?
  1. There was some genral discussion about the A/R office sometimes billing to the wrong patron - when names are close or identical ( Deb Grier-FAL brought this up).
  2. Elizabeth McKeigue has been named the new chair of the TFSCP (Task Force for the Simplification of Circulation Policies). The group will continue its work following PSC and ULC evaluation of the TFSCP report. Report will be posted to circ-l web pages.
  3. Paula Ebbit opened a discussion of library coverage during the university holiday period, extended this year, between Christmas and the New Year. Units agreed that they will probably be able to remain open on something like a 9-5 schedule, with different staff filling in around the observance of different religious holidays. We will probably revisit this when thinking about calendars for the fall, as it might be wise to not have books falling due during the extended holiday period at the end of the year.
