HOLLIS CIRCULATION LIAISONS MEETING

November 2, 1999 9:15-10:45 OIS Conference Room

Informal Meeting Notes

Introductions

Old Business

  1. New circ libraries in January (somewhat tentative): McKay, Blue Hill and Rubel. Smart barcoding for mck, blh being spec'd now - should be ready to run this week.
  2. Year-end ("Christmas week") scheduling issues. To be discussed at ULC. MC will post update via circ-l if it doesn't go out to hulinfo.
  3. Bad charge times between 11:20 and midnight at reserves service units. - fixed 10/6. Thanks to everyone who provided information and support while this was worked on.

Policy table changes in October and November

New Business

  1. Student address problem: new addresses for this fall not loaded until 10/21. This was due to a delay in the FAS registrar's office, and is now resolved. Again, thanks to everyone who provided information and support while this was worked on.
  2. Calendar data. MC: We had a lengthy discussion about whether there are any procedures we could put into place to ensure that calendar data gets to OIS in a timely fashion. MC will try posting dates by which data "must" be in to OIS, with the understanding that there are a lot of different schedules to accommodate. Some libraries just don't have the information ready with much advance notice, whereas others seem to have the data ready well in advance, up to a year at a time.
  3. Note from Linda Marean: As best I can determine from the Circ Calendar tables, KSG, Countway, Divinity, Design, Gutman and Fine Arts are open on Saturday, 11/27 which is the day UIS would like to come down at 10 P.M. However, the latest closing time shown is 6 P.M. When libraries are doing Reserves circulation, the closing time is usually put into the tables as earlier than actual closing to force an overnight checkout towards the end of the day. But even if 6 p.m. is 3 hours before actual closing, all would be closed before 10 p.m.. (Martha -- Would you please check at the next Circ Liaisons to verify this assumption of their being closed by 10 p.m. on 11/27? Thanks.) MC: this appears to be fine.
  4. BI/Query upgrade this month for non-HCL units; starting in January for HCL. MC quickly overviewed the GQL Upgrade; new training classes will be set up to incorporate the new reporting module (the old one is still built in, so use of the new reporting module is optional). In general, the upgrade will look nearly identical to the older version, but it has some new features, in addition to Y2K compliance certification by the vendor.
  5. Other (Judi Beland): Do charges/discharges to FETCHERRS effect the charges counter? MC: No, as long as the HD FETCHERR patron record is coded with STUDENT=P. Any charges to patron records that have STUDENT CODE=P will not increment the charges counters on the item record.
  6. Other (Bruno Leung): Response time was very slow on circ charges yesterday 11/1 and Friday 10/29 - to the point of having to do manual charges for a period of time. As it turns out, no one called it in because there was a general feeling that it was so obvious that it had probably already been reported-! Please do call OIS when you observe such slow down. We can't help if we don't know when you are experiencing problems, and certainly there are classes of problems that we wouldn't necessarily know about on without your feedback.
  7. Other (Judi Beland): Judi has heard through the grapevine that the TFSCP is going to be revived. TFSCP is the Task Force for the Simplification of Circ Policies. Its final report is available at: http://hul.harvard.edu/cmtes/circl/TFSCP_990415.html
