Reading Room Use

The University Archives' reading room is a place of work for both researchers and University staff. All reading room visitors must abide by the rules and regulations of the Harvard University Archives. Access to holdings within the University Archives' collections are subject to terms of access. The reading room is reserved exclusively for the use of Archives material.

Registration

  • New researchers must complete a Registration Form when they first arrive in the reading room.
  • Returning researchers should notify reference staff of changes in registration information.
  • All researchers must sign the Daily Sign-in Log once daily upon entering the reading room.

Working in the Archives Reading Room

  • Coats, briefcases, and bags must be left in the closet or in our lockers in the Pusey Library lobby.
  • Only note paper, pencils and/or laptops may be taken to the tables.
  • The use of pens is prohibited.
  • Special permission is required for the use of digital cameras in our reading room.
  • All other copying devices, including scanners and tape recorders, are prohibited in the reading room.
  • Smoking, eating, and drinking are not permitted in the reading room.
  • Researchers must work quietly and keep conversation to a minimum as a courtesy to other patrons.
  • The use of cell phones in the reading room is prohibited.

Handling Archives Material

  • All material must be handled with great care; researchers who mishandle material may be denied access to our holdings.
  • The existing order of material must not be altered under any circumstances; papers must be kept neatly stacked within folders.
  • No marks are to be added to or removed from any item.
  • Notebooks, note paper, or computers, must never be placed on top of Archives material.
  • Researchers must return all materials to their proper containers and to the reference staff when leaving for the day or for an extended break.
  • Photographic prints and negatives require special handling.

Access to Archives collections

  • The Archives stacks are not open to researchers.
  • A call slip, available at our reference desk, must be filled out in full for each item requested from the stacks.
  • Only a limited amount of material may be used at one time. Researchers may be required to return materials before additional materials are released to them.
  • No material will be retrieved from the stacks after 4:15 pm.
  • Many of our collections are stored off-site. Retrieval of off-site items may require 1-3 business days to complete.
  • University records and faculty collections are subject to access restrictions. Reference staff may need to review collections to determine access before collections are made available for research.

Use and Reproduction of the Archives' Holdings

  • All photocopying is subject to approval by the Archives. Consult reference staff for our information sheet regarding photocopying procedures.
  • Permission to use material is not permission to publish; publication from Archives materials requires special permission. Consult reference staff for a source sheet relating to this procedure.
  • Consult reference staff for information relating to the reproduction and publication of Archives photographs.
