Photocopy Order Form Instructions

  1. Use white flagging strips and yellow photocopy order forms available at the University Archives' Reference Desk.

  2. Complete 2 flags for each sequence of pages to be copied. Place one flag on top of the first page to be copied; place a second flag behind the last page to be copied. Write "Start" on the first flag and "End" on the second flag.
    • Facing pages in a single document that fit within an 81/2" x 14" area may be counted as one page.
    • Small items such as clippings cannot be combined on one copy; each item counts as a separate page.
    • Do not rearrange material in folders.

  3. Replace flagged folders/items in their containers (boxes, pamphlet folders, etc.) with flags upright. Keep the flagged material until your photocopy request is complete.

  4. Complete the yellow photocopy order form.
    • List the call number, box or volume number (if applicable), folder title (if applicable), item description (date, title, correspondent, etc.), and the total number of pages to be copied from each box, volume, or document.
    • Keep a record of each item of which you have requested copies, as the flagging strips will not be returned with your copies.

  5. Bring your completed photocopy order form to the Reference Desk before 4:15 p.m. A member of the reference staff will review your form and explain the payment procedure.

  6. The copying of original materials is subject to the approval of the archivists. All original material will be reviewed after you have submitted your order. You will be notified and reimbursed for any items that cannot be copied.

Please consult a member of the reference staff regarding copies of items that are oversize, fragile, or in a non-standard format.
