FAQ for Student Organizations


How can the Harvard University Archives help us with our move?

      You can save space by placing older, inactive records in the University Archives instead of moving
      them into Hilles.

Other than saving space, why should we place our records in the University Archives?

      Student organizations are an important part of University life and an important part of Harvard’s
      history. We provide a permanent, secure home for the records of any student organization that wants
      to give us their archives.

What kind of records do you want?

      See our collecting guidelines for a suggested list.

What about electronic records (web sites and e-mail, for example)?

      Depending on the format, we’ll take them and do our best to preserve them.

When do you want our records?

      We will accept them when they are no longer of regular use to you.

How do we transfer our records to the Archives?

      For instructions and supplies, contact Jennifer Jacobsen.

What will you do with our records?

    • Accession them and send you an acknowledgement.
    • Catalog them in HOLLIS.
    • Store them in our secure stacks.

If we need to, can we still use our records once they are in the Archives?

      Yes. You can use them in our reading room.

Can anyone else use our records?

      We apply the same terms of access to your organization’s records that we apply to University records:
      • records intended for public distribution are available to researchers in our reading room
      • access to records not intended for public distribution that are less than 50 years old requires
        written permission of the current president of the organization. You may designate another senior
        officer to authorize access.
