Scan and Deliver starts today

I'm pleased to announce that today, Earth Day, the beta version of the Scan and Deliver PDF request feature will appear in both HOLLIS and HOLLIS Classic.  The new Scan and Deliver service will make over 10 million items available electronically to eligible users.  More information on this service can be found on the FAQ below and on the Scan and Deliver iSite.

Today's launch of the Scan and Deliver service is a soft launch as we complete the live beta testing of the system during the Spring and Summer months. There will be a full public rollout in September 2009. Please send in questions and comments via scandeliver@hulmail.harvard.edu

The Circulation, Privileges, and ILL standing committee (CPILL HUL) has formed the Illiad Users Affinity Group, to be chaired by Tom Bruno, Head of ILL, Widener Library, HCL. More information on the meeting schedule and email list for this affinity group will be forthcoming.

Scan and Deliver Talking Points (for Public Services Staff)

What is Electronic Document Delivery?
Electronic Document Delivery is a service that will deliver scanned articles or chapters from materials at HD or participating campus libraries to our users' desktops.

At Harvard the electronic document delivery service is called "Scan and Deliver".

How can patrons tell if an item is eligible?
On the availability screen in HOLLIS, and HOLLIS Classic, a Request PDF button will display next to the item. Items may not be eligible if they are charged to a patron, are being processed, or have been deemed ineligible for the service due to condition or other factors. Items without item records are not eligible by default.

NOTE:  There is one difference between the display in HOLLIS and HOLLIS Classic. The PDF link will not appear in HOLLIS for items that are checked out.  However, the PDF link will appear in HOLLIS Classic for items that are checked out.

Scan and Deliver staff will contact patrons when a request is made for items that appear eligible in the catalog but upon review are not eligible due to availability, format, or condition.

How will patrons make requests?
Patrons must register for the system the first time they place a request. For the first only request, after the patron has registered, they will need to return to the catalog and resubmit the request by clicking through the PDF link a second time.

Requests will be initiated in HOLLIS, and HOLLIS Classic, from the holdings display, on the same screen where recalls or requests from HD are placed. Patrons will then be authenticated through the PIN server. If the item is part of an electronic resource then the patron will be directed to an SFX page where they can either access the resource or, if they choose, continue to submit the Scan and Deliver request.

How will the library fill the request?
When the item is scanned it will be uploaded to a server and the patron will receive an email with a link to the document in pdf format.

Which patrons will be eligible to use the service?
Users currently able to request items from HD and special borrowers with remote access to e-resources. As with other patron-initiated requests in the OPAC, patrons will be authenticated in the Harvard PIN server.

Is there a page limit?
30 pages (or 1 article, 1 chapter). Complying with Copyright Act Section 108 (d) & (e).

How many requests can patrons make?
2 per day, per patron.

What is the turnaround time for filling requests?
The target is 4 business days. Some libraries may be able to provide faster service, as time allows.

Will there be a fee to use the service?
No, as with HD deliveries, patrons will not be charged a fee. The “owning” library will continue to be charged for HD retrievals as per existing procedures.

What about the HD?
HD will operate as a supplier for over 50% of eligible materials. HD staff will retrieve and scan materials for libraries with collections housed at HD that have been coded as eligible for Scan and Deliver.

When will this fabulous service be available?
Links to Scan and Deliver from the catalog should appear the morning of April 22nd.
