The 2009 Budget Rollover process is complete. Financial Departments may begin updating 2010 budgets.
Other staff should follow local Financial Department instructions about budget availabilty.
Staff who are authorized to move records may resume doing so.
Here's what you should see in Aleph now:
- Monograph orders that were encumbered to 2009 budgets should now be encumbered to 2010 budgets;
- Standing Orders that were encumbered to 2009 budgets should have multiple encumbrances: one each for earlier budget years and one for 2010. The 2010 budget should be highlighted (the earlier budgets are no longer active);
- Serial orders that were encumbered to 2009 budgets should have multiple encumbrances: one each for earlier budget years and one for 2010. The 2010 budget should be highlighted (the earlier budgets are no longer active);
- All budgets except for Type UU (Unrestricted Undesignated) that had a cash balance (positive or negative) in 2009 should now have that balance in the 2010 budget. Balances in Type UU budgets do not carry over from year to year;
- All 2009 budgets should be marked NA (Not Active).
Budget Summary Reports
Final Budget Summary Reports for 2009 have been posted to the Aleph Acquisitions Budget Reports website. The first Budget Summary Report for 2010 is also be available on the website.
Filtering the Budget List
Most staff will want to filter the Budget List so that only 2010 budgets display. You may also want to filter the List to display only Active budgets and only the budgets that you are authorized to use. To filter, display the Budget List and click on the Filter By button. For Status, select AC (Active). For Year, enter 2010. And, check the View Only Authorized Budgets box.
