Staff may now use the Import Records function in the Aleph Cataloging
client. This function allows you to select a MARC file from your local or
network drive and convert it to Aleph sequential format. After the
records are converted, they may be saved one at a time to HVD01.
To request use of this functionality, please submit a request via the
Aleph Support Center:
http://hul.harvard.edu/ois/systems/aleph/forms/f-supp-cat.html
Prior to using this functionality, you will have to edit a configuration
file on your PC. The configuration to your PC will depend on the source
of MARC records. These are the sources already reviewed by OIS:
Erasmus
Boekhandel b.v. [Netherlands]
RISS
[Korean Education and Research Information Service]
To use a source of MARC records not included in the list above, please
contact OIS via the Aleph Support Center. Sources of MARC records
reviewed by OIS should not be construed as a validation of the quality of
the vendor's records. OIS confirms the character set being used by the
vendor, and will assist with the configuration for any vendor that a
library wishes to use, as long as the vendor is using a supported
character set. Poorly cataloged records must be corrected by library
staff. If you use a source of records not reviewed by OIS, you may
introduce character errors into the catalog.
Please note that no automatic "fixes" can be applied to these
records, as can be done for records loaded into HVD03 or HVD01 (via the
order loader). Requests for data to be loaded by OIS, such as for large
batches of data, should be submitted using a request form available
at:
http://hul.harvard.edu/ois/systems/aleph/dataloads.pl#status
Using this function on a file that is too large (i.e. contains too many
MARC records) will cause your client to crash.
