ALEPH Version 19 Project Upgrade Overview

Harvard plans to upgrade from Aleph version 18.01 to 19 in August 2008. OIS staff, the Aleph Working Groups, and the MetaPAC Standing Committee are currently testing and configuring version 19. The cutover is scheduled to take place the weekend of August 16th and 17th. This page provides an overview of activities associated with this system upgrade. Progress reports on this upgrade will be sent to the HULINFO mailing list.

  • July 28 (Monday): Aleph 19 client rollout begins
  • August 13, 14, 15, 19, 20, 21: overview open meetings for Aleph version 19
  • August 16-17 (Sat.-Sun.): Aleph 19 cutover

Login Requests:

Because of a freeze on changes to the current system before the cutover, we will not be able to create new logins or make changes to existing logins (including Print Operator designations) from August 4-18. All login requests must be received in OIS by the end of the day on August 4 (Mon.) to ensure that we have time to process them before the deadline. Login requests received after August 4 will be held until after the cutover.

HOLLIS OPAC

The schedule for the cutover is as follows:

  • August 16 (Sat.) 6:00 am-7:00 am: HOLLIS OPAC unavailable
  • August 16 (Sat.) 7:00 am until August 17 (Sun.) 1:00 pm: HOLLIS OPAC available in "search only" mode (users will not be able to login to view or modify personal account information or to request holds or renewals).
  • August 17 (Sun.) 1:00 pm - 7:00 pm: HOLLIS OPAC unavailable
  • August 17 (Sun.) 7:00 pm: HOLLIS OPAC resumes normal hours of operation (Version 19)

HOLLIS/Aleph staff functions

The anticipated schedule for the cutover is as follows:

  • August 16 (Sat.) 3:00 am until August 18 (Mon.) 8:00 am: Aleph staff function unavailable (includes circulation, reserves maintenance functions, and all technical services functions)
  • August 18 (Mon.) 8:00 am Aleph staff functions resume normal hours of operation (using Version 19)

During this time, exporting records from OCLC will also be unavailable. As we move closer to implementation, we will send out reminder announcements to hulinfo, including any possible schedule changes.

New client installation

Local IT support staff will be installing the Aleph 19 client on staff desktop machines prior to the cutover. This means that you will soon have TWO Aleph clients on your workstation:

  • the Aleph 18.01 client (which you will continue to use until we cut over to the new release)
  • the new Aleph 19 client (which you will use after the new version of the system is available)

Log in and Working with the Aleph 19 client

Staff will begin using the Aleph Version 19 client on Monday morning, August 18 at 8:00am. Click on the links below to read the steps users should follow to:

Reset Z39.50 Targets:

If you use Z39.50 targets, you will need to copy and paste the EXT lines in the Version 18 SEARBASE.DAT file into the Aleph Version 19 SEARBASE.DAT file. DO NOT copy the entire SEARBASE.DAT file from version 18 to version 19. The files are not the same

To do this, follow these steps:

  1. From the Accessories menu in your Start menu, open either Notepad or WordPad
  2. Open the file called SEARBASE.DAT located in C:\AL500181\ALEPHCOM\TAB\
  3. Highlight all EXT lines in the SEARBASE.DAT file
  4. Type Ctrl + C to copy the EXT lines
  5. Open the file called SEARBASE.DAT located in C:\AL50019\ALEPHCOM\TAB\
  6. Place your cursor under the HVD03 line
  7. Type Ctrl + V to paste the EXT lines into the version 19 SEARBASE.DAT file
  8. Save the file

You can copy the EXT lines from the version 18 SEARBASE.DAT file over to the Aleph 19 SEARBASE.DAT file anytime before the cutover. The targets cannot be tested until after the cutover. Staff who are uncomfortable with or unable to access their hard drive to perform this copy procedure should contact their local IT support staff for assistance.

Copy & Paste Local Templates:

18.01 local templates will not be available in your 19 client. If you have created local templates, you can copy these into the new client. There is a simple copy procedure to make this happen, described in the document How to Copy Local Templates from Version 18.01 to Version 19. You can copy your Aleph 18.01 local templates over to the Aleph 19 client anytime before the cutover, though you will not be able to test them until after the cutover. Staff who are uncomfortable with or unable to access their hard drive to perform this copy procedure should contact their local IT support staff for assistance.

Reset Print IDs:

If you have authorization to print reports in Aleph, you will need to reset your Print IDs. See the document Initial setup for CIRC-ACQ print operators for more information.

Please note: your authorized print IDs are located in the Task Mananger in the version 18.01 of Aleph. Please make note of your print ID before Friday, August 15th.

Reset Local Keyboard Shortcuts:

If you have created local keyboard shortcuts in Version 18.01, you will need to reassign these values in Version 19. To do this:

  1. Open the module that uses the keyboard equivalent
  2. Select the ALEPH menu
  3. Choose Options..Customize
  4. Click on Tab 2 (Accel. Config.)
  5. Highlight the function from the left hand column
  6. Type your local keyboard shortcut in the Create New Hotkey field 7. Click the Assign button
  7. Click OK

Create Desktop Icons for Verion 19:

If you have a module icon on your desktop, you will need to delete it and create a new desktop icon by choosing Start..Programs..AL50019, then highlighting the module that you wish to create an icon for and right click on it with your mouse. When the menu appears, choose "Create shortcut" and place the new icon on your desktop.

Version 19 Documentation and Overview Sessions

  • The Overview of Aleph 19 document is now available. This document summarizes changes that have been introduced with this version.
  • Six open meetings on the Aleph 19 upgrade have been scheduled for staff interested in seeing the new version and walking through the Overview document. These meetings are optional and do not require registration. All overview sessions will be held in room 021 of 90 Mt. Auburn.
