Criteria for participating in Aleph

Joining HOLLIS/Aleph requires a level of commitment and financial support that should be carefully considered by new units considering participation in the university-wide library management system. The following guidelines should be used to assess whether a library collection is eligible to join the HOLLIS/Aleph system. Exceptional cases or requests will be addressed by HOLLIS/Aleph Steering Committee as needed.

  1. The HOLLIS catalog is a union catalog of library holdings in Harvard's Libraries. The HOLLIS Catalog supports the University's primary mission of teaching and research. Materials listed in the HOLLIS Catalog must be available for the use of Harvard students, faculty, staff and affiliates.
  2. Staff contributing to HOLLIS/Aleph must follow the standards and guidelines provided in the HUL Bibliographic Standards, Holdings Records in the Hollis Catalog: Standards and Guidelines, and other documents available on the home pages of the Bibliographic Standards Working Group and the Continuing Resources Working Group.
    OIS provides Aleph training through regularly scheduled classes. Assistance with serials cataloging is available from the HUL CONSER Office. Assistance and training for subject analysis is available from the Principal Cataloger in the Harvard College Library.
  3. Data in HOLLIS/Aleph is sponsored, supported and maintained by a permanent Harvard library or department. Data contributed by projects or short term funding must be sponsored and maintained by a Harvard library or department. Data must be actively maintained to reflect current holdings and status.
  4. New libraries will be asked to contribute to the Library systems assessment at a level appropriate for their collection and staff size.
  5. Library staff contributing to HOLLIS/Aleph are encouraged to participate in various venues of information on the latest bibliographic and Aleph policies and procedures by subscribing to HULINFO and HAUG, discussion lists provided by OIS. Staff are encouraged to attend the monthly Catalogers Discussion Group and other Harvard meetings related to HOLLIS/Aleph
