Aleph Update: HOLLIS/Aleph unavailable / Service Pack Installation



This message will be of interest to all staff using HOLLIS/Aleph.


OIS will install a service pack to update Aleph Version 18.01 on Thursday, January 24, 2008.

This message contains the following information:

1. HOLLIS/Aleph will be brought down temporarily to install the service pack
2. Problems that will be fixed by the service pack
3. Instructions for how to accept the new files loaded onto Aleph


1. HOLLIS/Aleph outage

OIS will install the service pack during Thursday morning's maintenance window.  HOLLIS/Aleph will be unavailable January 24 from 6:00 am - 6:40 am. HULINFO will be notified when the public catalog and the Aleph client are available.


2. The Service Pack will fix the following problems in Aleph:

SEARCH

- The header display configuration on the Brief List would revert to the default whenever a search was conducted in a different library. This has been fixed.

- When performing a Browse search with the 'Include BIB/HOL data' option, the 'Show' and 'Catalog' buttons did not work correctly for keywords index and index entries. This has been fixed.

ACQUISITIONS/SERIALS

- The Status field on tab 2 of the General Invoice was skipped when you tabbed through the fields. This has been fixed.

CATALOGING

- When copying headings into 7XX fields using the F3 function key the second indicator was incorrectly changed to match the authority 1XX. This has been fixed.

CIRCULATION

- When choosing "Renew all", if the number of renewals for an item was exactly the defined limit, the item was renewed, but the patron letter included the error "Renewal limit reached..." in the Renew message column. This has been fixed.

- In order to avoid security problems caused by changing the staff user in the middle of a loan session, the system now ends the session, clears the contents, and reloads the patron details.  This is a continuation of an earlier correction.

OPAC

- Sometimes when browsing in a Direct Index, such as ISBN or LC Call number, some entries were skipped.  This has been fixed.


3. Follow these instructions to accept the new files into your Aleph client:

1. Log into Aleph via the Cataloging or Circulation Modules (NOTE: Do NOT log in via Acquisitions Module; you may not receive the correct files if you use this module.)
2. You will get an Aleph Version Check dialog box that will say "New Aleph Files are Available.” Click 'OK' to continue to the Update Version window.
3. A GUI Update Version Window will appear on your screen showing you the files that will be added to your Aleph Client. Click the ‘Update All’ button to download the files.
4. Your Aleph client will reboot and the Aleph Password Dialog box will appear on your screen. Type in your regular username and password and you will be able to begin work as usual.

If you do not receive the Aleph Version Check Dialog box, follow these steps to update your client:

1. Click on the ALEPH menu in the Cataloging or Circulation module
2. Select Version Check from the ALEPH Menu
3. A GUI Update Version Window will appear on your screen showing you the files that will be added to your Aleph Client. Click the Update All button to download the files.
4. Your Aleph client will reboot and the Aleph Password Dialog box will appear on your screen.  Type in your regular username and password, and you will be able to begin work as usual.

Supervisors should confirm with their staff that all users have received the updated files.

If you encounter any problems with updating your Aleph Client, please contact your IT department.
