Aleph Update: HOLLIS/Aleph unavailable / Service Pack Installation
This message will be of interest to all staff using
HOLLIS/Aleph.
OIS will be installing a service pack that will update Aleph Version
18.01 on July 24 (Tues.).
This message contains information on the following:

A. HOLLIS/Aleph outage
OIS will install the service pack during Tuesday morning's maintenance
window. HOLLIS/Aleph will be unavailable July 24 from 6:00
am - 6:40 am. We will send a message to HULINFO when the public catalog
and the Aleph client are again available.
B. Problems that will be fixed by the Service Pack
- Acquisitions
- Filters for Budget transactions did not display on some clients
(sporadic problem). This has been fixed.
- When creating a new Arrival on a Standing Order, Auto Update Exp.
Arrival Date (in Save Information section) did not include the
system-calculated date in parentheses. You will now see the
system-calculated date (which you can accept as is or change by
unchecking the Auto Update Exp. Arrival Date box and adding a different
claim date in the Exp. Arrival Date field).
- When you changed a budget after line item was created, the display on
the line items list did not refresh to show the new budget. The new
budget will now appear on the line items list.
- Change Inv. No. function was timing out. A workaround fix has
been in place for this problem but this Service Pack includes the
permanent fix.
- Circulation
- Patron keyword searches for patron address did not yield any results
in several cases, although the matching records existed. This has been
corrected.
- In the Patron List, when patron name + address were longer than 200
characters, search by patron name in some cases didn't work. This has
been corrected.
- Indexing
- Cross-references were disappearing from Sorted Index display in OPAC
and Brief Recs display in Aleph client (see Aleph Update at
http://hul.harvard.edu/ois/systems/aleph/updates/upd10-18-2006.html more
information on this problem). This has been fixed. Note that
cross-references will be created as bibliographic records are indexed
(when new records are added and when existing records are saved to the
server). The problem will not be completely corrected until we regenerate
the indexes (we expect to do this in the Fall).
- OPAC
- Using the Back button after viewing a specific record from a results
list did not return you to original place in the list. This has
been corrected.
C. How to accept the new files that you need for the Service
Pack
1. Log into Aleph via the Cataloging or Circulation
Modules
NOTE:
Do NOT log in via the Acquisitions Module--you may not get all of the
correct files
2. You should get an Aleph Version Check dialog box that says
"New Aleph Files are available, click 'OK' to continue to the Update
Version window." Click on Ok.
3. An Aleph GUI--Update Version window will appear on your screen showing
you the files that will be added to your Aleph Client. Click the
Update All button to download the files.
4. Your Aleph client will reboot and the Aleph Password dialog box will
appear on your screen. Type in your username and
password.
If you do not get the Aleph Version Check dialog box, follow these steps
to update your client:
1. Click on ALEPH on the main menu
2. Select Version Check from the ALEPH menu
3. An Aleph GUI--Update Version window will appear on your screen showing
you the files that will be added to your Aleph Client. Click the
Update All button to download the files.
4. Your Aleph client will reboot and the Aleph Password dialog box will
appear on your screen. Type in your username and
password.
Supervisors should confirm that all Aleph clients in their area have been
updated.
If you encounter any problems updating your Aleph Client, please contact
your IT department.
