Hello all,
OIS will be re-indexing the heading indexes beginning next Friday,
December 21st at 5pm. The heading indexes include Authors, Titles,
Series, Subjects (LCSH), and Medical subjects (MeSH).
Aleph heading indexes in HVD01, HVD10 and HVD12 are being rebuilt to
provide additional cross-references in Authors, Series and Subjects
(LCSH), and to include arranged statement in music headings. We are also
preparing for the eventual implementation of authority-related
enhancements. For more detailed information on the changes, see the
section at the end of this announcement.
Re-indexing HVD10 (LC Subjects) will begin on Friday, December 21st at
5pm, followed by HVD12 (MeSH), and HVD01. The process is expected to
continue through the week of winter break and complete by Jan. 2nd.
Re-indexing HVD10 and HVD12 (the authority databases), will affect links
to authority records in HOLLIS and the staff client. In HOLLIS most
[Heading information] links will cease to appear once re-indexing
begins. The [Heading information] links that remain are
likely to lead to information for unrelated headings. Staff will
experience the same situation in the Aleph client. Links to authority
headings are expected to be restored by Jan. 2nd.
HVD10 and HVD12 will be unavailable in the staff client for some period
between the start of re-indexing and the morning of December 24th.
Please do not add or change authority records in either library until
notification is sent that re-indexing is complete. Cataloging activity in
HVD01 can continue as normal.
When re-indexing is complete, OIS will copy the new heading indexes to
the production system. When that happens, indexes may be out of date
(i.e., changes to HVD01 records made between Dec. 22-Jan. 2 may not
appear immediately) until those bibliographic records are re-processed.
OIS will send out an update when the re-indexing work is
complete.

Changes to heading indexes:
- Adding subfield $$o (arranged statement) to headings in HVD01
- Adding 410 to 111 cross-references to Authors
- Adding 430 to 100 cross-references to Series
- Adding 430 to 100, 410 to 111, 411 to 110, 430 to 150, and 410 to 151
cross-references to Subjects (LCSH)
- Enabling links to authority records for personal, corporate and meeting
names in Series
- Implementing "Category", an Aleph verson18 enhancement
that allows different types of headings with the same content to display
distinctly. For example the heading Chess is a personal name
cross-reference and a series title. Aleph currently displays one instance
of the heading "Chess" in Authors. With category implemented,
the name and series will display distinctly, on two separate lines. In
the Aleph client, category will display as a two digit code
(corresponding to the last two digits of the tag) in the Auth. info.
column of the Browse list. Implementing category functionality is
required for the eventual implementation of version 18 automated
authority control enhancements.
