System Development and Upgrade Projects

This website provides brief information about major library systems projects currently underway in OIS. Projects are organized into three broad areas: Research Services, Digital Collections Services, and Library Staff Services. For more information about any project contact the person listed for the project. During the Library Transition (2011-12) new projects are being placed on hold while we develop a new IT roadmap for the Harvard Library. GeoSearch(Harvard Library Lab) Dave Siegel Objective: Build prototype and assess next steps for rendering and faceting HOLLIS search results using a map display interface.

Benefits: Improve discovery of HOLLIS items that contain geospatial terms in their metadata.

Enhance e-resource discovery and access Laura Morse Objective: Key recommendation from LIWG IT Subgroup to make improvements to the usability/navigation/access mgmt for e-resources. Project includes:
a) Focus groups with students and faculty to clarify problems
b) Investigation of longer time out
c)trials for aggregated article indexes
d)other enhancements as defined by focus groups

Benefits: For patrons, improved access to e-resources and e-journals

Status/schedule: The Primo Central aggregated index was adopted in the Spring of 2011. The first phase of access improvements for the Cambridge campus will be complete by end of October, 2011. Review of additional networks is currently underway.

DRS 2.2 Andrea Goethals Objective: "Object management and monitoring" - The key components include [A] a redesign of the DRS Web Admin, [B] enhancements for audio formats, and [C] definition of rightrs and access metadata requirements.

Benefits: Replaces aging infrastructure with modern technologies; brings the DRS in line with digital preservation best practices and standards; and better supports curatorial collection management.

Status/Schedule: There will be a series of releases to depositors for testing, the first one was released to DRS users on 8/15/2011. The enhancements are currently planned to go into production in Fall 2012.

Library specific digital and digitization projects analysis and support on request Wendy Gogel Objective: Provide analysis, advice and assistance on the use of the central digital library infrastructure to managers of specific digital library projects, with a focus on best practices for long term preservation and access. Help managers navigate the use of central systems and services including DRS, NRS, TED, VC, WAX, VIA, etc.

Benefits: Assissts managers in reaching individual project goals while promoting consistent practices in the production and processing of content for DRS to achieve long term preservation and access goals.

Status/Schedule: Encompasses many individual projects. New DRS deposit inquiries include MMDGI Optical Media Archive project (HCL Maps), Harvard Art Museums Official Records Collection, video and theses for GSD Loeb Library and historical documents for Tohoku University for Harvard-Yenching. New online access projects include Schlesinger's collection of Paul Child's photographs in the Julia Child Collection and non archival-finding aids for HCL. HathiTrust - 2012 Tracey Robinson Objective: — 2011: load 53K volumes of Harvard data into Hathi — 2012: define how Hathi fits into HL strategy and map action plan

Benefits: collaboration with Hathi partners on digital collections (access and preservation), shared print collections, and possible relationship with DPLA

Status/Schedule: initial set of 53K volumes loaded into Hathi digital library; open meeting on Hathi held for library staff in Dec 2011; next steps involve strategy decisions about Harvard's level of participation in Hathi and how to integrate Hathi holdings into Harvard discovery environment - target decisions for Spring 2012.

Zone 1 project (Harvard Library Lab) Andrea Goethals Objective: Develop a prototype of a "rescue repository" for temporary /interim secure storage and management of digital scholarly content. Project also includes development of a tool for surveys of papers of potential donors to the archives, and a series of policy discussions.

Benefits: Assessment of scope of material that needs to be accessioned; proof-of-concept of a bit-level preservation repository serving all of Harvard

Email archiving project: Developing the EAS (Electronic Archiving System) Pilot Wendy Gogel Objective: Collaborative project with Countway, Schlesinger and HU Archives to develop a pilot system for archival processing and DRS storage, initially for email. ULC reviewed and approved proceeding in May 2010.

Benefits: Managers of archives and special collections are seeking solutions for processing and safe storage of these important records of the work and thinking of well-known figures and University scholars. Among the issues being tackled are identification, storage and transport of sensitive data.

Status/schedule: Since the first Beta release in August 2010, there have been 6 more releases of EASi (the EAS UI) with increasing functionality for the partner archivists to test. New testers from the Archives of the Harvard Art Museums and from the GSD Loeb Library were brought on in June. A new developer was hired for EAS in October 2011. The production release will be integrated with DRS 2 and timed with its release.

Shibboleth / In Common participation Randy Stern Objective: Define business and technical requirements for federated authentication and authorization to support multi-institutional user access to shared resources, such as from HathiTrust, ARTstor, and others.

Benefits: Harvard users gain full access to Hathitrust and NIH sites, and single sign on to ARTstor Shared Shelf

Status/Schedule: A plan is being developed with the HUIT IdM Team to do a Shared Shelf pilot. However, it appears that InCommon (Hathi, etc.) can not be supported at this time by central IdM.

Election 2012 Collaborative Web Archive Collection Wendy Gogel Objective: Collaborative project with US IIPC members to collect web sites related to the 2012 US elections. OIS is coordinating this project which will involve subject experts from the Harvard Kennedy School as web site selectors.

Status/Schedule: Website nominations have begun at Library of Congress and HKS. Crawls by the Internet Archive will begin in January 2012 and will continue until shortly after the 2012 elections.

Rights Management Study for DRS 2 Phase 2 Wendy Gogel Objective: Phase 2 will determine additional rights management requirements for DRS 2 based on use cases and analysis of managers needs to comply with laws, contracts and policies governing digital collections.

Benefits: This project advances initial work done in Phase 1 for collection managers by: 1) determining additional rights metadata that should be recorded, and, 2) identifying additional DRS restriction rules needed to comply with complex access requirements (e.g, allow streaming audio in a particular room, do not allow downloading; allow viewing by a selected set of authorized viewers).

Benefits: Data driven decision making has become critical in the current environment. New approaches should be investigated ; any new solution for data driven assessment and reporting should look closely at existing infrastructure for the large collection of data and tools that are in current use

Status/Schedule: The leadership for this work has shifted to the new Harvard Library CFO, but OIS will support efforts to develop assessment capabilities that can be served by a library data warehouse. Expand curriculum beyond Aleph and establish solid mechanism for keeping curriculum current. Phase 1 - Replacing instructor-led training modules of Aleph is underway with a detailed project plan for year-end completion. Implementing temporary delivery solution while CWD updates their Learning Management System. Defined methodology for creation of training sandbox that can be accessed from staff's desk.

Benefits: 1) More timely availability of training for new hires and staff reorganizations. 2) Broaden audience of staff 3) Self- based refresher training.
