Monthly Customer Reports

At the beginning of each month, customers can expect to receive the following reports for the prior month:

Sales Statement
Shows month by month charges for storage, processing and courier activity.

Activity Report
Demonstrates retrieval, refile and courier activity in a daily log format. The report summarizes activity costs for the current month and adds these to the total charge for Billable Storage Feet (BSF).

Customer Accession Receipt
This report lists all items received and processed during the previous month in barcode sequence.

Customer Refile Receipt
A report of refiled items for the previous month.

Items Outstanding Report
This report shows items retrieved from the Depository, but not returned for refiling. This list also shows outstanding items by period held, providing customers with a tool for managing their deposits.

Depository reports will be sent directly to the Primary Authorized Individual. Copies of selective reports are also forwarded to the Records Management Office of the University Archives.

The Depository also produces special reports at the request of the customer. These include:

Retrieval Frequency Report
Gives the customer an accounting of the number of times an individual item is retrieved during the current year. This report is "reset" once a year (June 30).

Customer Shelf Report
Lists specific shelves that are assigned to each customer and shows the Billable Storage Feet assigned to each shelf height.

Customer Tray Report
Provides a list of trays sorted by tray type or by date received. It shows how many boxes or miscellaneous media types are in inventory.

Retrieval Turnover Report
Shows the relationship between items retrieved in a specific month and total items stored through a specific month. This report is run and "reset" at the end of each month.

All interdepartmental charges are automatically processed by the Depository through journal voucher. Any questions pertaining to the accuracy or content of the monthly statement can be directed to the Records Management Office.
